The first time you use Waldo, it asks you a few questions to get to know you. It identifies your closest teammates from your recent Teams interactions, learns your habits to predict your next bookings, and asks whether you need a parking space or are a first aider, for example. From then on, it looks for a desk near your teammates, in your favourite zone, with the equipment you need.

How does desk booking work in Microsoft Teams with Waldo?
Waldo books desks for you inside Microsoft Teams, either automatically from your habits or when you ask it. You can chat with the Waldo bot, use the Waldo tab, or pick a seat on the office map, without leaving Teams.
What is predictive desk booking?
Predictive booking means Waldo reserves your desk before you ask. It learns which days you work from home or at the office, and uses Microsoft Teams and Outlook to anticipate your next reservations. You can change any booking at any time.
What happens when the office is full?
You go on a waiting list and Waldo books the first freed seat for the person at the top. The order depends on each user's priority and on how many times they have already waited recently, so it stays fair for everyone.
Can I book a desk with specific equipment or for a guest?
Yes. Waldo does its best to match desks to your needs, such as a dual monitor, and can book a desk and a parking space for a visitor. Administrators can reserve a pool of spaces for guests and last-minute requests.
Is desk booking included in the free version?
No. The free version lets each employee declare whether they work at the office, remotely or are absent, and shows who's coming, occupancy and the Waldo bot. It does not book a specific desk, so overbooking is possible. The complete version, at 30 € per user per year, guarantees capacity: book a specific desk, parking or a meeting room on the floor plan, with check-in and waiting lists.
